IT equipment for current employees

Renewal of standard equipment:

  • The head of section can approve. The employee asks the head of section if he/she can renew his/her standard equipment (list attached). If the motivation is reasonable, the head of section can approve. The employee orders the equipment in the AU-IT webshop.

Non-standard equipment:

  • The head of department can approve. Employees ask their head of section if they can buy a given piece of equipment. If the motivation is reasonable, the head of section forwards the request to the head of department through the secretariat (mfa@mpe.au.dk).

IT equipment for new employees

Employed by the Department:

  • The head of section clarifies the new employee's need for equipment. In case of standard equipment, the secretariat will help with ordering and arrange pick-up. In case of non-standard equipment, the head of section clarifies the need for equipment and asks IT for a price estimate. The estimate must be approved by the head of department through the secretariat (mfa@mpe.au.dk). If approved, the head of section places the order and arranges pickup.

Employed on a project:

  • The funder is responsible for the procurement of IT equipment.

  • When purchasing IT equipment on an external project, be aware of whether the funder accepts Standard IT costs. Standard IT costs are e.g.: Regular PC, mobile, docking station.

  • Standard IT costs are not accepted on projects with the following funders:

    • H2020/Horizion Europe

    • Innovation Fund Denmark (IFD)

    • DFF (Danmarks fri forskningsfond)

  • Standard IT costs are accepted on projects with the following funders:

    • Villum Foundation

    • AUFF (AU Research Foundation)

    • Marie Curie (MSCA)

Employed on a project but equipment is paid for by the department:

  • The project manager (or head of section) clarifies the new employee's need for equipment and asks IT for a price estimate. The estimate must be approved by the head of department through the secretariat (mfa@mpe.au.dk). If approved, the project manager (or head of section) places the order and arranges pick-up.

End of employment and IT equipment

Purchase of IT equipment at the termination of your employment is not possible.
