Management of externally funded projects

When applying for externally funded projects, you must follow MPE's project management process for externally funded projects.

Automatic upload to ReAp

A robot import applications from TECH’s application template.

Requirements for importing applications: 

  1. The application form must not be submitted until it is final, meaning that the application has been sent to the grant donor.
  2. Use the latest version of the TECH application template.
  3. The ReAp validation in the cover letter must be fulfilled. This means that all ReAp fields in the cover letter must be completed. Otherwise, the ReAp robot will return the application form to the sender.
  4. Send the email to: Nat-Tech.Finance.Application@au.dk and c.c. to reap@mpe.au.dk 

All applications imported by the ReAp robot are assigned the status “submitted”. 

The sender is responsible for ensuring that the data is correct and complete. If the above requirements are not met, the ReAp robot will return the email to the sender. Remember that the information submitted is also the information imported into ReAp.



Project idea development and feedback

If you have an idea for a research project, the first step is to reach out to your HoS. This early dialogue ensures that the project is grounded in institutional priorities and positioned for success from the outset.

At this stage, it is also crucial to assess which funding sources the project might align with. The Research Coordinator can help you get an overview of the funding opportunities. 

Feedback

You can receive feedback at any stage - from initial idea to an almost finished application.

If you would like feedback on your project idea, you can choose to contact your HoS, who may either provide feedback themselves or identify another relevant person.

You also have the option to contact the Research Coordinator, who can forward your inquiry to the Research Committee. The Research Committee will then decide whether to provide feedback themselves or refer you to a senior professor with more relevant experience in your field. 

The Research Coordinator can also arrange a pitch session with the Research Committee - a focused presentation of the project idea, objectives, and expected impact. The committee provides constructive critique, challenges assumptions, and offers strategic input that strengthens the proposal before it moves into the writing phase. This step is especially valuable for competitive or complex calls, helping to refine both content and positioning.
